TOUR RESERVATION TERMS AND CONDITIONS

BOOKING CONDITIONS

ClubMaster Travel generally refers to its travelling clients as Guests.

ClubMaster Travel Pty Ltd ABN 29 608 974 134 and associated companies or agents, give notice that they act as a booking agent only for the persons or companies providing products and/or services and all receipts, tickets, vouchers coupons or exchange orders are issued subject to the terms and conditions of such products and/or services.  ClubMaster Travel and/or its associated companies or agents do not accept any responsibility for loss or injury to persons or property whether by negligence or misadventure by the principal contracted to provide the products and/or services.

ClubMaster Travel and/or its associated companies or agents are not liable for any delays, omissions, irregularities, illness, injuries, strikes, civil unrest, war, quarantines, Acts of God, floods or force majeure interfering with, altering or adding to the cost of the products or services booked by ClubMaster Travel nor any dissatisfaction the Guest may have with persons, agents or companies providing or offering the products and services.  The above exclusions of liability are subject to any statutory liability which may not be excluded by law.  The contract shall be governed and controlled in all respects by the laws of the State of Queensland, Australia.

Reservations

To make a reservation Guests must complete and sign a booking form, including names in full (as per current passport), date of birth, next of kin, full passport details, and contact details for all passengers including pre-departure phone number. All dietary and seating requests are to be provided at the time of booking.  By making a booking, the first named person on the booking agrees on behalf of all persons detailed on the booking that:

He/she has read these terms and conditions and has the authority to and does agree to be bound by them in respect of all associated bookings.

Payments

All prices are in Australian Dollars and are based on tariffs and exchange rates current as at 1st October 2016. Prices are based on 25 adult paying Guests travelling together, and if this number is not reached within a timeframe acceptable to ClubMaster Travel, ClubMaster Travel reserves the right to re-cost, cancel, or amend the relevant tour, or offer alternative tours or a refund to Guests should the minimum number not be attained.

Within 7 days of making a booking a non-refundable deposit of $950.00 per person per tour is required, with the balance required 60 days prior to departure.  Failure to pay by the due date may result in cancellation of the booking.  For any reservation made within 60 days of departure full payment is required upon confirmation of the booking.  Credit Card payments will incur relevant merchant fees.

Deposits represent a booking fee and are non refundable and non transferable, any date changes or amendments will attract fees.

Decreases in cost due to exchange rates will be passed onto the client, and any increase must be borne by the Guest, notwithstanding that the deposits and full monies may have already been paid.  Please note that current pre-payable airport and departure taxes/fuel levies are included, however these are subject to variation and this the variation must be paid prior to departure, as they are Government taxes, and subject to audit.

Cancellations & Amendments

Should you need to cancel a booking, notification must be in writing, if a deposit has been paid this will be non refundable.  If cancelled, once full payment has been received and within the 60 days prior to departure full monies paid will be forfeited.  No refunds will be given for unused or cancelled services once travel has commenced.   If a tour is being hosted, it is usually based on a minimum number of 25 Guests travelling together, however if a host is unable to travel at the time of departure due to circumstances beyond their control, the operator has the right to replace the host with  another suitable person providing the minimum number of Guests are on the tour.

No refund is given for any partially or wholly unused services/tour inclusions.  No overseas supplier or any associate is authorised to promise any refund on behalf of ClubMaster Travel.

TRAVEL INSURANCE

We strongly recommend that comprehensive travel insurance, providing suitable cover for the destinations to which you are travelling, be purchased at the time of paying a deposit.

PASSPORT AND VISA

A valid passport is required for all international travel.  You need to ensure that your passport has at least six (6) months validity remaining on your passport beyond the period of intended stay. If not, immigration authorities may refuse entry if you arrive with less than this, also airlines and shipping lines may refuse to carry you if your passport has inadequate validity.  Australian Passport holders may need a Visa for various countries, this usually has to be obtained before departure from Australia. It is your responsibility to check if a visa and other documents are necessary and correct at the time of travelling.

GENERAL HEALTH REQUIREMENTS

All touring can involve a considerable amount of walking, stair climbing, and carrying of a bag or backpack to take full advantage of the itinerary and its inclusions. It is important that all participants have a level of fitness that allows them to take part in these activities, without the need of assistance from other travellers.  We recommend, if you have any doubt, you visit your medical practitioner regarding health requirements pertaining to the countries and areas to be visited, and to the proposed itinerary.

ITINERARY VARIATIONS

All possible effort is made to adhere to the touring itinerary as outlined in the brochure.  Sometimes circumstances beyond our control will force changes, amendments or modifications to the itinerary such as hotels, transport and all other tour inclusions. Such changes remain at the absolute discretion of ClubMaster Travel or the tour operators, and ClubMaster Travel accepts no responsibility for same.

SPECIAL REQUESTS

The airlines, cruise companies and tour operators will endeavour to satisfy any special service requests such as dietary requirements, meet and greet assist and wheelchair assistance.  Regrettably ClubMaster Travel and the various providers, including but not limited to airlines, cruise companies, accommodation venues, tour operators, and related service providers and venues, cannot guarantee your requests.  Some medical assistance and special meal requests may incur a charge, which will be invoiced to the Guest accordingly.  NOTE all special requests should be notified in writing at the time of booking.  Airlines and tour operators may at their discretion refuse to carry Guests with certain medical conditions which affect you or a member of your travelling party at the time of booking.

NOTE:  Not all European hotels offer dedicated NON SMOKING rooms, we request same, but no guarantee is given.

SINGLE SUPPLEMENTS

Individual Guests may request a single room by choice, however in all hotels there is a limit to the availability of Single Rooms.  A single supplement fee will be charged accordingly.

DOCUMENTATION

Documents will not be released until the Guest has completed and signed their booking form, and all fees and charges have been paid in full.
